AMAZON Career Choice Job Board Privacy Notice

 

1. Introduction and scope

In this AMAZON Career Choice Job Board Privacy Notice (“Notice”) we describe how AMAZON and its affiliates as outlined below collect, store, use and transfer (collectively “process”) the Personal Data (as described below) of employees who use the AMAZON Career Choice Job Board and elect to create a Job Seeker Profile using the Job Seeker Profile Platform ("Platform").

 

2. Who is the Controller?

The Amazon company you work for is the relevant controller (“AMAZON” or “we) with respect to the processing of your Personal Data.  AMAZON determines how your Personal Data is processed.   If you have any questions about who the data controller for your Personal Data is, please contact us as outlined under the “Questions and queries?” section below.

 

3. Collection of your Personal Data

AMAZON collects the following personal data about you if you choose to create a Job Seeker Profile (hereinafter jointly referred to as “Personal Data”):

  1. Identification data (name and email address);
  2. CV / resume related data (job title, company name, employment history, work experience description, education, hobbies and interests, personal picture, such other information which you may choose to provide in connection with your Job Seeker Profile); and
  3. If you consent, data which you provide regarding your success story (new company name and new job title)

 

4. How We Process your Personal Data

The AMAZON Career Choice Team supports employees participating in Career Choice.

Your voluntary registration on the Platform allows managed third-party employee partners of Career Choice and other AMAZON affiliates (“Other Data Controllers”) to receive and view your Personal Data and contact you about prospective job opportunities, if you have provided consent for them to do so. Other Data Controllers may view your Personal Data either by searching the Platform or by receiving your Personal Data through periodic email distributions.

 

5. Purposes and Legal Basis for Collecting Personal Data

AMAZON collects and uses your Personal Data for the following purposes:

  1. Setting up your Job Seeker Profile;
  2. Supporting you in transitioning to a new job in your chosen field of study by making Other Data Controllers aware of your potential candidacy;
  3. For administrative purposes;
  4. For verification and documentation purposes;
  5. Protecting our rights and fulfilling our legal obligations;
  6. Determining whether you have transitioned to a new job in your chosen field of study, as a result of taking classes via Career Choice, and with your agreement, to sharing details of your success story with others; and
  7. Receiving email communications from the Career Choice team about hiring events organized by Career Choice and sharing your success story with other Career Choice participants (with your consent)

AMAZON’s legal basis to process your Personal Data varies depending on the specific purpose for which the Personal Data is processed and includes performance of a contract, our legitimate interest (where processing does not outweigh any of your privacy law rights ), consent or compliance with a legal obligation.

 

6. Sources of your Personal Data

Much of the Personal Data we process is obtained directly from you when you set up your Job Seeker Profile, but we may also obtain Personal Data about you from our employer partners (for example employers reporting to us that they have offered you a job and that you have accepted – a successful outcome for Career Choice that we celebrate).

 

7. Disclosure and transfer of your Personal Data

AMAZON shares your Personal Data:

  1. With employees of AMAZON and Other Data Controllers only on a need-to-know basis for the purposes as described in section 5 above.
  2. With Other Data Controllers for the purpose of supporting you in successfully getting placed in a job in your chosen field of study as a result of taking classes via Career Choice; and
  3. With the AMAZON third party service provider Smartjobboard.com, Inc. (“Smartjobboard”), who hosts the Platform in the USA on behalf of AMAZON as a data processor.

These third parties act as controllers of your personal data in their own right and are responsible for compliance with applicable data protection and other laws.

 

Please note that neither your manager nor your local  human resources department will have access to your Personal Data which we are processing for the purposes set out in this Notice. 

We will only share your Personal Data with third parties in accordance with applicable law.

Amazon does not sell your Personal Data.

 

8. Retention Period

AMAZON will only retain your Personal Data for the period of time  for which it is necessary for the purposes described above and in accordance with applicable law.

AMAZON may keep some of your Personal Data for a longer period, notably where we are required to do so by law or in order to meet our legal obligations. In all instances, your Personal Data will be archived and kept for the period imposed by the applicable regulations, to meet obligations under a contract or for the duration of the applicable legal requirement.

When your Personal Data is no longer required or must otherwise be deleted, we will ensure that it is deleted or anonymized in accordance with applicable law. Please refer to our HR Data Retention and Destruction Policy for further details about the relevant retention term in relation to your Personal Data.

 

9. Security

In accordance with applicable law, AMAZON has taken appropriate technical, physical and organizational measures in order to protect your Personal Data in its custody or control from loss, theft, misuse, unauthorized access, disclosure, alteration, copying, accidental or unlawful destruction and any other unlawful forms of use.

 

10. Transfer

Due to the nature of the service offered through Smartjobboard, your Personal Data may be transferred outside the country or region where you work in furtherance of AMAZON’s legitimate interests . If your Personal Data is transferred to Other Data Controllers located outside the country or region where you work, we will implement the appropriate safeguards to secure the transfers under applicable law, such as standard data protection clauses and additional measures to supplement such clauses as may be required. You may have the right to obtain a copy of such safeguards or information on them at any time by contacting us.

Please note that for the transfer of your Personal Data to Smartjobboard, located in the USA, AMAZON has implemented EU Standard Contractual Clauses based on the European Commission’s model clauses. 11. Your Rights

Depending on the laws of the country or region where you reside, you may have certain rights regarding your personal data including (among other things) the right to request access to, correction, or deletion of your Personal Data and to ask for data portability and restriction of processing.

You may also be entitled to object to the processing of your Personal Data in certain instances. When we process your Personal Data based on your consent, you may be able to withdraw it at any time.

For California employees, you have the right under the California Consumer Privacy Act (“CCPA”) to request:

  1. information about the collection of your personal information;
  2. specific pieces of personal information AMAZON has collected about you;
  3. deletion of personal information;
  4. correction of inaccurate personal information;
  5. limits on the use or disclosure of sensitive personal information; and
  6. to opt-out of the sale or sharing of personal information. 

Depending on your data choices, certain services may be limited or unavailable.  AMAZON will not discriminate or retaliate against individuals for exercising their rights under the CCPA.

AMAZON may update this Notice from time to time. Use of the Personal Data we collect now is subject to the Notice in effect at the time of use. Whenever AMAZON makes a change, we will post the updated policy at this site and we encourage you to check our Notice periodically.
